Managing Client Profiles

The client profile page is your central hub for managing individual clients. Learn how to navigate tabs, filter clients, and track their activity.

Tip

You can also view and manage clients on the iOS mobile app for quick updates on the go.

Accessing Client Profiles

From the Clients page, click on any client row to open their detailed profile.

Client Profile Tabs

Each client profile has 6 tabs, each serving a specific purpose:

1. Overview Tab

The Overview tab provides a quick snapshot of your client:

  • Basic Information - Name, email, phone, date of birth
  • Stats - Current weight, goal weight, height
  • Pairing Status - Whether they've paired their mobile app
  • Last Activity - When they last logged in
  • Coaching Status - Active or inactive

2. Progress Tab

View and manage your client's progress tracking:

  • Progress Photos - Photo carousel with date stamps
  • Weight Chart - Visual weight tracking over time
  • Measurements - Body measurements history
  • Notes - Add coaching notes about their progress

Tip

Progress photos are automatically organized chronologically, making it easy to show clients their transformation.

3. Check-in Tab

Review check-in submissions from your client:

  • Weekly Check-ins - Client-submitted forms
  • Photos - Check-in photos uploaded by client
  • Weight Updates - Self-reported weight changes
  • Notes - Client comments and feedback
  • Coach Response - Add your feedback and guidance

4. Program Tab

Manage workout plans for this client:

  • Current Plan - Active workout program
  • Plan History - Previously assigned plans
  • Assign New Plan - Button to assign from your library
  • Plan Progress - Workouts completed vs total

5. Meal Plan Tab

Create and manage nutrition plans:

  • Daily Meals - Breakfast, lunch, dinner, snacks
  • Macros Summary - Total calories, protein, carbs, fat
  • Use Template - Load a pre-made meal plan
  • Start from Scratch - Create custom meal plan
  • Food Database - Search and add foods

Info

The Meal Plan tab may be locked if nutrition features are not available in your tier. Contact support to unlock.

6. Profile Tab

Edit detailed client information:

  • Personal Info - Name, email, phone, DOB, gender
  • Body Stats - Current weight, goal weight, height
  • Goals - Fitness goals and preferences
  • Medical Notes - Injuries, conditions, limitations
  • Pairing Code - Code for client to pair mobile app
  • Delete Client - Remove client from your roster

Filtering Clients

On the main Clients page, use filter tabs to organize your client list:

Client filter tabs: All, Coached, Uncoached
Filter clients by coaching status

Filter Options

  • All - Shows every client you've added
  • Coached - Clients who have paired their mobile app (sorted by last active)
  • Uncoached - Clients added but not yet paired

Tip

When you click on "Active Clients" or "Inactive Clients" from the Overview dashboard, the Clients page automatically filters to show only coached clients sorted by last active date.

Client Activity Status

Clients are categorized by their recent activity:

Active Clients

Coached clients who logged into the mobile app within the last 7 days. These clients are likely engaged and following their programs.

Inactive Clients

Coached clients who haven't logged in for 7+ days or have never logged in. Consider reaching out to re-engage them.

Warning

Regular check-ins with inactive clients can significantly improve retention and results.

Searching Clients

Use the search bar at the top of the Clients page to quickly find specific clients:

  • Search by name (first or last)
  • Search by email address
  • Search by phone number

Results update in real-time as you type.

Sorting Clients

Click on column headers to sort the client table:

  • Name - Alphabetical order
  • Date Added - When you added them
  • Last Active - Most recent login (coached filter only)
  • Status - Coached vs uncoached

Understanding Client Statistics

On the Overview dashboard, you'll see client statistics cards:

Active Clients Card

Shows the count of coached clients who logged in within 7 days. Click "View All" to see the filtered list.

Inactive Clients Card

Shows coached clients who haven't logged in for 7+ days. Useful for identifying clients who need follow-up.

Coaching Capacity Card

Displays your current client count vs your maximum (based on your tier). Example: "35/50 Clients"

Info

When you reach your client limit, you'll need to upgrade your tier to add more clients. Contact support for upgrade options.

Best Practices

Regular Profile Reviews

  • Check client profiles at least once per week
  • Review progress photos and weight trends
  • Respond to check-ins within 24-48 hours
  • Update plans based on progress

Client Engagement

  • Reach out to inactive clients proactively
  • Celebrate milestones and progress
  • Adjust plans if client is struggling
  • Keep medical notes up to date

Organization Tips

  • Use consistent naming for clients
  • Add detailed notes in check-in responses
  • Review uncoached clients regularly (they may need help pairing)
  • Archive or remove clients who are no longer coaching

Troubleshooting

Client not showing as coached?

The client needs to:

  • Download the mobile app
  • Create an account with the exact email you entered
  • Select your coach profile during setup
  • Complete the pairing process

Can't see progress photos?

Progress photos must be uploaded by the client through the mobile app. Make sure they know how to submit photos in their check-ins.

Weight chart not updating?

Weight data comes from client check-ins. If they're not submitting check-ins or not including weight, the chart won't update.
